Orders receipt
When orders are received, they are first checked against our current inventory. If the books are not available from our stock, we order immediately from the publisher. In addition, we detect any duplication of orders already sent.

Claims
If the material is not immediately available from the publisher, our automated ordering system provides follow-up of those titles not supplied and the search for them continues for 90 days. At the end of this period we notify the client of his order's status. We do not cancel orders except upon library's instructions or if informed by the publisher that the book is out of print.

Returns
We accept book for return if they are defective or damage in shipment, or if they have been inadvertently duplicated by us. When the library duplicates an order by mistake, it is necessary to request permission before returning the material.

Invoicing / shipping
Books are shipped via UPS and DHL at a special rate, unless the client specifies otherwise. Each carton of books contains its own invoice, with books listed in accordance with your specific instructions.

Technical services
PUVILL LIBROS provides book processing services including binding, cardsets, and USMARC records for books supplied on Firm Order.

Invoicing and Shipping
Standing Order shipments are accompanied by invoices, according to your specifications, and in addition we insert title slips in each volume containing the complete bibliographic data relating to the title(s) being shipped with purchase order information.

Status reports and claims
Our close contact with publishers, enables us to keep our clients informed of any bibliographic and publication changes regarding Standing Orders.
Our internal management system enables us to monitor receipts, frequency, and publication history in support of Ordering materials and any claims made to the publishers.
We maintain records of customers orders for any discontinued series and thus can report on any reactivated title(s).

Back volumes
We also handle orders for volumes which have already been published and can establish the client's order for the next volume to be published. Where possible we can supply any in-print back volumes.

The purpose of the Approval Plan is to send newly published books to a participating library, simplifying and strengthening conventional book selection and acquisition. An approval plan does not replace those professional functions, instead it both simplifies and enhances them. Books selected on Approval Plan are send to the library with the understanding that they do not conform to the Approval Plan guideline, can be returned. In such a case we would appreciate your informing us of the reason for which the material was returned and thus enable us to provide you with better service.

Methodology
PUVILL LIBROS Approval Plan system is based upon Library of Congress Classification and manual selection of the book. Our Approval Plan is designed to meet the specific needs of any library.

We begin by working with you and developing a profile suited to your library's interest. The first step to a successful Approval Plan is the design of an individual profile. Such profiles are developed from the library's collection development policy, previous profiles and/or subject by subject analysis of LC classification, including or excluding various non-subject parameters, such as price, publisher, format etc. We record this information, which is consulted whenever we handle a book.

The ability to profile a library accurately and effective is central to the PUVILL Libros Approval Plan. The subject definition for your program may be drawn either from previous information supplied or from our Subject Classification Marks (based on the Library of Congress classification).

We order books for our Approval customers using the standard trade bibliographies and reviewing tools, pre-publications and advance book information notices and standing orders. When the books are received our professional staff selects the books according to the guidelines supplied to us by the customer and ensures that the books comply with customers profile.

In addition to books send on the Approval Plan, we send selected of bibliographical cards containing information about books touching upon subjects according to your Approval Plan profile. A Firm Order is required for those titles.

Prevention of duplication
Our system is designated to prevent the duplication of Firm Orders and Approval Plans. When we receive a firm order it is first checked against our Approval file. If the book has already been supplied on the Approval Plan, we advise the library.

Invoicing and shipping
All books shipped on the Approval Program are accompanied by bibliographic slips in USMARC records. Each slip is inserted in the appropriate book. Shipments are also accompanied by invoices arranged to the library specifications. Approval books are billed and shipped separately.

Management information
We offer statistical data on each library Approval Plan consisting of:

• - A book sales and returns report, detailing the quantity of books shipped and returned during a given period
• - Cost Projections based on your library's profile, indicating the number of titles and forms to expect during the year and the anticipated costs of same
• - An annual Approval Plan coverage reflecting statistical information on all Approval Plan books handled during the past years

Bibliographical services are free of charge and are designed to assist librarians on the development of their library collections.

This service enables libraries to receive, automatically and upon publication, announcements describing new books in areas of designated interest. They announce the availability of appropriate new books, and serve as order slips or machine readable records for titles selected for acquisition.

Defining your profile
We begin by working with you to develop a profile of your library's interest. You may ask us to provide broad coverage of several subject areas; or, you may wish to restrict your profile to a narrow range of specialized topics. We construct your profile to meet your requirements using our Classification Marks (based on the Library of Congress classification).

Each month we match your library profile against records of new books using your profile. Bibliographical information is then sent to yours library.

Machine-readable bibliographical information
The same data provided on paper forms can be received by FTP, or diskette for loading into your local system. This option allows the creation of a local resource file for on-line selection of new titles. Provided in the MARC format, they can also be used to generate on-order records, thereby eliminating time consuming order keying and verification. Also a full access of this bibliographical information is provided through our home page.
